Fleet & District Model Aero Club and GDPR

The F&DMAC Committee take the security of your personal data seriously.  With the introduction of the General Data Protection Regulations (GDPR), BMFA have also taken steps to help affiliated clubs manage their members’ personal data by creating a secure BMFA Membership Portal.  This replaces both the ‘bmfa.org’ online Country Member Renewal portal and the Club Management portal.  The BMFA Membership Portal is fully operational and we now administer our Club membership from this site.

Members are encouraged to register and log on to the BMFA Membership Portal ‘https://bmfa.azolve.com’ to check their details are correct and up to date.  Members are also able to print off BMFA membership documents and achievement scheme certificates, as well as renew their own membership.  A userguide is available at ‘www.bmfa.org/portalguide’.

Our Privacy Policy is summarised below.  If you have any questions on the Club’s handling of your personal data, please contact our Data Protection Compliance Officer (- see below).

The legal basis for the processing of your personal data is to enable the Club fulfil our contractual obligations and to provide membership services.  Please note that failure to provide consent for your personal data to be used as described below will unfortunately result in the Club having to decline your membership application/ renewal.

How do we collect information about you?

  • When you apply for Club membership, from your completed Membership Application Form;

  • When you renew Club membership, from your completed Membership Renewal Form;

  • Once you are a Club member, by Club Administrator access on the BMFA Membership Portal;

  • From ad hoc notifications from you of changes in circumstances.

What type of information is collected about you?

The personal information we collect includes your name, address, email address, telephone number and age.

How is your information used?

  • To process your membership;

  • To carry out our obligations arising from your membership;

  • To seek your views or comments on matters relating to the Club and model aircraft flying;

  • To notify you of changes to our services;

  • To send you communications which you have requested and that may be of interest to you.  These may include information about Club events and contests and other Club related matters, as well as information from the BMFA that may be of interest.

  • To enable Crookham Street Social Club (CSSC) to process your associate membership.

How long do we retain your information?

The completed application/renewal form you provide will be kept by the Club Membership Secretary for up to a year, or until he is satisfied that your details appear correctly on the secure BMFA Membership Portal.

If your Club membership lapses, we will retain your name and BMFA number indefinitely, to identify returning lapsed members.  All other personal data held locally by the Club Membership Secretary will be deleted.

If your BMFA membership lapses, your information will be securely kept by BMFA on their database for a period of seven years, after which your information will be deleted.

Who has access to your information?

We will not sell or rent your information to third parties, nor share it with them for marketing purposes.

All members of F&DMAC are also required to be current members of BMFA and automatically become associate members of Crookham Street Social Club.  By renewing your F&DMAC membership you give consent for your personal data to be shared with BMFA to enable provision of BMFA membership services, as well as to CSSC for membership administration purposes.
